Position Summary: 

Loffler Companies is seeking a highly organized, creative, and proactive Event & Brand Marketing Coordinator to plan and execute external events, sponsorships, promotional programs, and brand initiatives across the organization.

Reporting to the Loffler Marketing Manager, this position manages customer and prospect events, trade shows, conferences, community events, ribbon cuttings, and sponsorship activations from planning through follow-up. Responsibilities include budgets, timelines, vendors, venues, registrations, branded materials, communications, on-site logistics, and performance reporting.

The Event & Brand Marketing Coordinator also supports initiatives that build brand awareness, engage customers and prospects, and advance sales priorities. They collaborate with sales leaders, practice managers, marketing colleagues, vendors, venues, and community partners to deliver consistent, strategically aligned brand experiences.

The ideal candidate is detail-oriented, creative, adaptable, and skilled in event planning, budgeting, communication, vendor management, and coordinating multiple priorities. The role offers opportunities to grow across event and promotional marketing, sponsorship activation, brand management, sales enablement, and integrated campaigns.

 

Essential Duties and Responsibilities:

External Events

  • Plan and execute customer and prospect events, trade shows, conferences, open houses, ribbon cuttings, community events, and networking activities from initial planning through post-event follow-up.
  • Manage goals, timelines, budgets, venues, vendors, registrations, catering, audiovisual needs, signage, promotional materials, staffing, and on-site execution.
  • Develop event plans with the Marketing Manager and business stakeholders; serve as the primary marketing contact and coordinate internal teams, sponsors, venues, vendors, and community partners.
  • Coordinate invitations, registration pages, attendee communications, presentations, signage, photography, video, and follow-up while ensuring a professional, consistent Loffler brand experience.
  • Maintain the external events calendar and travel as needed to support priority events, trade shows, sponsorships, and community activities across Loffler's service area.

 

Sponsorship and Community Engagement

  • Coordinate approved sponsorships, chamber memberships, community partnerships, and participation in chamber, association, nonprofit, and community events. 
  • Maximize sponsorship benefits—including participation, advertising, signage, tickets, digital exposure, and speaking opportunities—and maintain records of requirements, contacts, deadlines, deliverables, and results. 
  • Evaluate event and sponsorship performance and recommend future participation. 

 

Brand and Promotional Marketing

  • Coordinate promotional initiatives, including customer gifts, branded merchandise, event giveaways, awards, seasonal campaigns, signage, vehicle graphics, displays, and other physical brand assets. 
  • Manage promotional product vendors, including pricing, proofs, production, delivery, and quality assurance, as well as the organized inventory of merchandise, supplies, signage, and displays.
  • Support external brand campaigns and customer engagement initiatives; partner with creative team members on advertisements, presentations, signage, photography, video, and promotional assets. 
  • Ensure that events, sponsorships, merchandise, and marketing materials follow established Loffler brand standards.
  • Maximize sponsorship benefits, including participation, advertising, signage, tickets, digital exposure, and speaking opportunities, while maintaining records of requirements, contacts, deadlines, deliverables, and results.

 

Marketing and Sales Support

  • Support approved sales and practice-area initiatives, including events, seminars, trade shows, association activities, local market opportunities, chamber memberships, and community partnerships.
  • Partner with the Marketing Manager to evaluate requests for strategic alignment, audience, impact, budget, resources, and timing.
  • Coordinate event campaigns, briefs, promotional plans, invitations, presentations, attendee lists, and follow-up with digital marketing, creative, content, sales, and vendor partners.
  • Support customer and prospect engagement that strengthens relationships and generates qualified leads; monitor assigned requests and assist with other priority marketing projects.

 

Project and Budget Management

  • Manage multiple events, campaigns, budgets, timelines, deliverables, approvals, responsibilities, and status updates simultaneously. 
  • Request estimates, compare vendors, negotiate within established authority, and coordinate contracts, purchase approvals, purchase orders, deposits, invoices, and budget allocations. 
  • Deliver projects accurately, on schedule, and within budget; promptly communicate delays, budget concerns, or scope changes to the Marketing Manager. 
  • Maintain organized event documentation, vendor information, contracts, invoices, creative assets, and post-event results. 

 

Measurement and Continuous Improvement

  • Track attendance, engagement, leads, expenses, sponsorship fulfillment, and other available performance measures. 
  • Coordinate stakeholder feedback and sales follow-up, and prepare recaps summarizing results, observations, opportunities, and recommendations. 
  • Use results and industry best practices to improve future planning, promotion, execution, and return on investment. 
  • Perform additional marketing and special projects as assigned by the Marketing Manager. 
  • Responsible for understanding, staying updated on, and abiding by the Employee Handbook as written.

 

Qualifications/Requirements:

  • Experience coordinating customer events, conferences, trade shows, sponsorship activations, community events, ribbon cuttings, or open houses. 
  • Experience supporting brand campaigns, customer engagement, sales enablement, branded merchandise, signage, displays, gifts, or promotional materials. 
  • Experience managing budgets, contracts, purchase orders, invoices, and relationships with venues, caterers, audiovisual providers, photographers, videographers, promotional-product vendors, and community organizations. 
  • Familiarity with project-management, event-registration, CRM, or marketing platforms such as HubSpot, Swoogo, Monday.com, Asana, or similar tools. 
  • Experience creating or coordinating presentations, promotional materials, photography, video, or event assets using Canva, Adobe Creative Cloud, or similar platforms. 
  • Experience tracking event performance, attendee engagement, lead generation, sponsorship fulfillment, or return on investment. 
  • Candidates must possess a valid driver's license, maintain an acceptable driving record, and provide proof of minimum auto insurance coverage as required by state law.                                                                                                    

 

Education/Experience:

  • Bachelor's degree in Marketing, Communications, Business, Public Relations, Event Management, or a related field, or an equivalent combination of education and experience. 
  • Two or more years of experience in event planning, event or brand marketing, communications, or a related field, including independently coordinating external events, trade shows, sponsorships, community activities, or promotional programs. 
  • Experience managing event logistics, vendors, venues, budgets, registrations, materials, signage, and on-site execution. 
  • Demonstrated ability to manage multiple projects, deadlines, priorities, and stakeholders in a fast-paced environment with strong organization, initiative, judgment, adaptability, follow-through, and attention to detail. 
  • Strong written, verbal, and interpersonal communication skills and the ability to work professionally across all organizational levels. 
  • Proficiency with Microsoft Office, including PowerPoint, Word, Excel, Outlook, and Teams. 
  • Ability to travel, work outside standard business hours, and transport and set up event materials, displays, signage, and promotional items as needed.
